The Business Operations team’s mission is to ensure AR/VR makes the best strategic decisions across a variety of domains. We support decision making by teams across Product, Marketing, Content, Business Development, Analytics, and FP&A. We combine structured problem-solving, user centered design thinking, qual/quant analyses of internal/external data, and soft skills to influence strategy.This role is an opportunity to shape the computing platforms of the future. It will challenge you to understand and impact many facets of our customers, products, business strategy and operations, including journey maps, forecasting, opportunity sizing, competitive analysis, management reporting, and goal setting.

  • Partner with cross functional teams to define problems, articulate the option space, and characterize tradeoffs.
  • Develop a deep, quantitative and qualitative understanding of our users and developers.
  • Identify opportunities to grow the AR/VR ecosystem and business.
  • Build relationships with a variety of cross-functional partners and influence them to act on recommendations.
  • Analyze industry trends and translate their significance to the AR/VR strategy.
  • Present recommendations to leadership, including the Reality Labs Product and FB Finance executive teams.

  • 4+ years of experience in business strategy, finance, analytics or sales planning
  • B.S. or M.S. in a quantitative field (Engineering, Statistics, Math, Economics, Finance or similar)
  • Proven track record of developing and executing strategy projects
  • Analytical experience, with experience framing ambiguous problems, and drawing insights from multiple data sources
  • Experience shifting priorities while maintaining a high degree of organization and control
  • Communication and interpersonal skills

Job Description

The Business Operations Associate reports to the Senior Business Manager of the Research at Redmond Lab in the Technology & Research (T&R) organization and will be a part of the business team that supports over 500 team members. The business team is dedicated to the delivery of outstanding business and operational support to the lab’s people, operations, partners and the Interns, Visiting or Consulting Researchers they host. As part of the business team, the Business Operations Associate will manage the end to end procurement process for hardware, software and services.

In this role, you will manage non-standard procurement of research-related goods & services, in addition to standard purchasing, such as PO creation, one-time payment processing, you will be the escalation point to work with Finance and Procurement partners to ensure budget and policy adherence. You will also review and approve employee travel and expense reports as the proxy to our Director and Deputy Director. You will act as the subject matter expert, a resource to communicate, educate, and ensure consistency in all aspects of procurement.

Because our business shifts throughout the year, you will need to be comfortable with a changing environment, providing grounding for the team. Responsibilities

Responsibilities

Manage the Procurement needs for our organization which includes:
o Opening PO’s for Hardware, Software, Software as a Service and Services.
o Managing service contracts for equipment.
o Owning Managed Service Agreements.
o Purchasing with corporate AMEX when appropriate.
o Processing Single Payment Requests.
o Asset entry, tracking and retirement.
o Ownership and management of our shared resources.
o Contract negotiation, change management and document archival.
o Ensure policy adherence for all purchasing and educating others on policy changes.
o Ensure budget accuracy through training and oversight of correct account code and CC/IO usage.
o Review and Approve expense reports as proxy for Leadership.
o Partner closely with Procurement on any work blocking issues.
o Onboard suppliers and manage the external relationships.


Qualifications

Qualifications
Required
1+ years of Procurement, Business Management, Program Management or Finance experience
1+ year experience with Microsoft productivity software, in particular Outlook, Excel, OneNote, Teams and SharePoint

Preferred
Bachelor’s degree or higher.
Experience with nonstandard purchasing across a diverse range of categories related to research activity (licensing for regulated activities, biological matter, chemicals, one of a kind items and “weirdware”.
Solid understanding of the procurement process and corporate policies.
Proficiency with Microsoft internal tools including MyOrder, MSExpense2, MSInvoice and LCEweb.
Strong written and verbal communication skills are essential.
Strong planning, organizational, time management and problem-solving skills with strong attention to detail.
Ability to multi-task, meet deadlines and work independently.
Proactive and strong collaborator; drive and initiative with a positive and professional approach.

Incident Management
Incident Management is a newly defined role to manage and support the reactive portion of Microsoft Premier and Unified Support contracts by overseeing case health and progress, developing relationships with customer stakeholders, and gathering account intelligence that can feed into other processes in support of the customer.


Responsibilities

An Incident Manager is responsible for the delivery of end to end reactive support, including healthy reactive case progression. Resources aligned directly to customer accounts / Customer Success Account Managers (CSAMs) and own escalation handling, reporting, trending, and customer communications. Some customization may be required to help tailor the experience for each customer. In this role, your responsibilities will include:


Communication and leadership
  • Build strong relationships with internal and customer stakeholders
  • Become a trusted advisor for aligned customer and CSAM
  • Exhibit confident leadership collaborating across multiple groups/organizations to meet customer outcomes
  • Communicate timely and effectively to internal and external customer needs
  • Articulate the value of Microsoft Services portfolio to key stakeholders
  • Effectively influence and lead actions through cross-group collaboration

Ongoing oversight of reactive cases
  • Regular case reviews of reactive cases owned by internal support organizations to assess health and status
  • Partnership with account CSAM on high-risk escalations and to gather/analyze information as needed to support the customer
  • Situational awareness & tracking
  • Proactive risk mitigation
  • Administrative casework

Driving cases to a healthy state
  • Communication with internal Microsoft resources for case updates and action requests
  • Direct communication with customers to promote case progress where necessary
  • Assisting to set the proper expectations with customers for support
  • Facilitation of meetings between customers and internal support organizations to expedite actions plans and progress

Reporting
  • Customer facing reports
  • Produce regular reports on case health metrics and status to be delivered to customers
  • Participate in and prepare content for regular customer meetings

Case Trending (People, Process, and Technology)
  • Identify the root cause of reactive support incidents and categorize in line with ITIL methodology
