Consumer Channel Sales & Marketing is looking for an experienced Executive Business Administrator to join the team and provide a high-level of support for our CVP. The ideal candidate is someone who thrives in a fast-paced environment, has initiative, and can embrace a challenge with a positive attitude. Must have strong organizational, tools and project management skills, the ability to communicate effectively at the Microsoft executive level. Must also uphold the highest level of integrity, business professionalism and deal with highly sensitive data with absolute confidentiality.

As an Executive Business Administrator for CCSM, you will work in close partnership with the Business Operations and Communication Team to provide seamless support to the worldwide organization. You will also provide leadership across the business administration team.


Responsibilities

  • Accurate management of complex calendar and ensure time scheduled aligns with the CVP’s priorities.
  • Represent the executive and the org in a professional manner, effectively communicating on the leader’s behalf with others. Includes coordinating internal and external speaking engagements.
  • End-to-end intricate domestic and international travel planning, including proactive adjustments to drive scheduling and resourcing.
  • Work with teams to create an annual ROB schedule and team calendar including team all hands, QBR’s, Leadership Team staff meetings, large- and small-scale off-site meetings and morale events.
  • Lead offsite and events planning execution for the CVP, venue selection, communications, and material preparation in collaboration with the administration team and engagement team.
  • Partner with Business Management and Leadership team to effectively run a global organization.
  • Work closely on aligning the ROB processes and operations with Leader’s calendar to ensure tight coordination of commitments.
  • Thorough understanding of the operations budget, including auditing of expenses, and supervising team admins in doing the same. Plan, forecast and track the events budget.
  • Assist with the execution of PCN management, REQ execution and tracking, onboarding, Employee Central transactions, and oversee administrative team in doing the same.
  • Assist with headcount tracking.
  • Coordinate Space management for the organization.
  • Manage select executive speaking request.
  • Handle other business and administrative projects as needed.
  • Strong collaboration and partnership with HR, Finance, CELA, Sales, other Microsoft LT members.


Qualifications

  • 5+ years of experience supporting a senior level executive in a fast paced and complex environment, understanding the executive’s needs, and making appropriate decisions and requests on behalf of the executive.
  • 10+ years of experience in administrative support roles.
  • Strong project and operational management skills including budget management, event management, executive level calendaring and understanding the business to help the decision-making process.
  • Proactive anticipation of executive needs and able to work independently to make administrative decisions and requests for information on behalf of the executive.
  • Works well in an agile environment, under pressure, with short-notice, and can take appropriate, timely action.
  • Must maintain confidentiality of highly sensitive material and information with discretion and professionalism.
  • Excellent organizational, analytical, and written communication skills.
  • Demonstrated proficiency using Microsoft productivity tools including Outlook, Word, Excel, and PowerPoint AND experience using OneNote, SharePoint, Teams or similar collaboration tools.
  • Knowledge of internal Microsoft tools such as Employee Central/HeadTrax, MS Expense Tool, MS Travel, iCIMSand MyOrder a plus.

Job Description

Are you looking for an exciting opportunity to be part of Microsoft’s Worldwide Learning Business, by supporting a globally diverse team? The WWL Field and Operations team, is looking for an experienced and highly motivated Executive Business Administrator to support Sr Directors and teams.

You will operate in a variety of capacities, demonstrating excellence in administrative functions.

Will be responsible for Executive-level interfaces, contact with customers, partners, and all levels within Microsoft. The ideal candidate must be able to communicate with a focused persona, accommodate different work styles, demonstrate sound and consistent judgment, make timely decisions and set priorities among multiple projects.


Responsibilities

  • Responsibilities include but are not limited to:
    § Proactively manage and prioritize complex calendars, with attention to accuracy and timeliness.
    § Partner closely with the Lead EA and Business Manager in support of “the office of the VP.”
    § Make administrative decisions and requests for information on behalf of the Directors based on understanding of business group priorities.

    § Prioritize projects and requests, to create a balance of support across the Leads and teams.

    § Planning and supporting morale events in US and International locations, within budget.
    § New hire onboarding, computer & peripherals ordering, co-own Welcome process w/Lead EA.
    § Reconcile Expenses for LT members, and interim approver for their Direct’s reports, ensuring coding accuracy, and MS Policy links as needed.

    § Ensure compliance with administrative operations policies and procedures.

Required:
  • Minimum 5+ years of demonstrated work experience supporting Sr Leaders and teams
  • Strong planning, organizational, time management and problem-solving skills.
  • Knowledge and proficiency in Microsoft programs, MS Office, Windows.
  • Maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Must be able to communicate with Exec Level of clarity, priority and sensitivity.
  • Be flexible in supporting across TZs, with a strong aptitude for detail and deadlines.
Preferred:
  • Minimum 10+ years of experience supporting Sr Leaders and teams
  • Familiar with Headcount management execution and processes.
  • Desire to take on big challenges and can see the big picture as well as the details.
  • Effective written and verbal communications skills
  • Appetite for owning challenging projects while multitasking timely priorities.

The Azure Compute Program Management team is looking for an experienced and highly motivated Executive Business Administrator (EA) to support a Partner-level manager as well as provide team support.

As an EA you will operate in a variety of capacities by partnering with a senior team and demonstrating excellence in administrative functions. Responsibilities

Duties include but are not limited to:
  • Proactively manage and prioritize complex calendars, resulting in the Leadership team staying focused on their business priorities, working efficiently and ensuring they are fully prepared and timely for meetings
  • Anticipate needs; make administrative decisions and requests for information on behalf of the LT based on understanding of business group priorities.
  • Domestic and international travel logistics management, trip preparation and expense reporting
  • Forecast and manage budgets and team procurement
  • Acting as interim approver on team expense reports, ensuring coding accuracy.
  • Manage Headcount and aliases
  • Collaborate on planning and support of all-up events including All Hands, morale events and other events as needed.
  • Coordinate department facility operations, including space planning and office moves
  • Daily team support including: new hire set up; purchase of goods & services, process invoices
  • Ensure compliance with administrative operations policies and procedures
