SMSI, LLC is seeking an Office Manager and Administrative Assistant III to manage our Oak Ridge office and support SMSI executives.

Manage all aspects of operating the Oak Ridge Office location
o Coordinate payment of lease and all utilities
o Ensure adequate IT services and equipment are available
o Maintain a high level of professional presence for the office
o Point-of-Contact for all matters relating to the office
o Manage office access
Provide administrative support
o Edits and prepares executive level correspondence
o Create Excel reports, letters, and PowerPoint presentations
o Provide administrative/receptionist relief
o Provide administrative support for projects and staff meetings
o Research governmental policies and procedures
Support SMSI functional directors
o Engage in business development activities consistent with Oak Ridge location
o Assist Director of Contract Services with contract modification, preparation, and management
o Support CIO with providing IT assistance to SMSI leadership

o Assist SMSI functional directors with updates to operations and safety management plans and prepare reference guides
o Engage with SMSI Business Manager to provide support and back-up

Competencies and Minimum Qualifications:
Must possess five years of general business experience
Prior business experience managing an office or corporate location
Excellent communication skills, Microsoft Office proficiency
Must be able to prepare, proofread and format complex reports, presentations, and contract/task order documents using standard software
Provide document management and control services for project level systems
Must be able to complete documents, including reproduction, collation and delivery and be able to effectively handle a variety of competing job tasks and use good judgment in handling information
Maintain confidentiality as required

This job operates in a combination of remote working and professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

Communication and active listening skills are a critical element of this position. The employee frequently is required to stand; walk; lift objects, and reach with hands and arms
